Privacy Policy
Holan Group (ABN 47 649 610 220) (“Holan”, “we”, “us” or “our”) is committed to protecting your privacy. This policy explains how we collect, hold, use, disclose and protect personal information, and how you can access or correct the information we hold about you. We handle personal information in accordance with the Privacy Act 1988 (Cth) (the Privacy Act) and the Australian Privacy Principles (APPs).
This policy applies to the Holan Group and its divisions — Professional Services, Legal & Assurance, Aviation and Learning — and to your use of this website. By using our website or providing us with your personal information, you agree to the handling of your information as described here.
What personal information we collect
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable. The personal information we collect depends on how you interact with us, and may include:
- your name, job title and the organisation you work for;
- your contact details, such as email address, phone number and postal address;
- the content of enquiries, correspondence and feedback you send us;
- recruitment information if you apply to work with us, such as your CV, work history, qualifications, references and right-to-work details (see Recruitment and job applicants below);
- technical and usage information collected automatically when you visit this website, such as your IP address, browser type, pages viewed and the date and time of your visit (see Cookies and website analytics below).
We do not seek to collect sensitive information (such as health, or information about your race, religion or political views) unless it is necessary for a specific purpose and, where required, you have consented to us doing so.
How we collect personal information
We collect personal information in a number of ways, including:
- directly from you when you email us, call us, or complete a form on our website;
- when you apply for a role or express interest in working with us;
- in the course of providing services to our clients;
- automatically through cookies and analytics when you use this website;
- from third parties, such as recruitment agencies or your referees, where it is reasonable and practicable to do so.
Where it is lawful and practicable, you have the option of dealing with us anonymously or by using a pseudonym. In many cases, however, we will need your personal information to respond to your enquiry or provide our services.
Cookies and website analytics
Our website uses cookies and similar technologies to help it function and to understand how visitors use it. Cookies are small text files stored on your device.
We use Google Analytics to collect anonymised, aggregated information about website usage — for example, which pages are visited and for how long — so we can improve the site. This information is processed by Google and may be stored on servers outside Australia. You can find out how Google handles this data in the Google Privacy Policy.
You can control or disable cookies through your browser settings. If you disable cookies, some parts of the website may not work as intended.
Why we collect, hold, use and disclose personal information
We collect and use personal information to:
- respond to your enquiries and communicate with you;
- provide, manage and improve our services;
- consider and process recruitment applications;
- operate, maintain and improve our website;
- meet our legal, regulatory and contractual obligations.
We will only use or disclose your personal information for the purpose for which it was collected, for a directly related purpose you would reasonably expect, or as otherwise permitted or required by law.
Disclosure to third parties
We may disclose your personal information to:
- service providers who support our operations, such as our website host, IT and analytics providers, on the basis that they protect your information and use it only for the services they provide to us;
- our professional advisers, where necessary;
- a client, where you have engaged with us in connection with that client’s work;
- government or regulatory bodies, courts or law enforcement, where required or authorised by law.
Some of our service providers — including our website host (Cloudflare) and analytics provider (Google) — may store or process data on servers located outside Australia, including in the United States. Where we disclose personal information overseas, we take reasonable steps to ensure it is handled consistently with the APPs. We do not sell your personal information.
Recruitment and job applicants
If you apply for a role with us or send us your details at careers@holan.com.au, we collect the personal information you provide — such as your CV, work history, qualifications and referee details — to assess your suitability, contact you and manage the recruitment process. We may verify the information you provide and contact your referees. If your application is unsuccessful, we may keep your details for a reasonable period so we can consider you for future opportunities, unless you ask us not to.
How we store and protect your information
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include technical measures, restricted access and staff obligations of confidentiality. No method of transmission over the internet is completely secure, and while we work to protect your information we cannot guarantee its absolute security.
How long we keep your information
We keep personal information only for as long as we need it for the purposes described in this policy, or as required by law. When we no longer need it, we take reasonable steps to destroy or de-identify it securely.
Accessing and correcting your information
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. To make a request, contact our Privacy Officer using the details below. We will respond within a reasonable time. There is generally no charge for making a request, although a reasonable charge may apply for giving access in some circumstances. If we decline a request, we will explain why in writing.
Making a privacy complaint
If you believe we have breached the APPs or mishandled your personal information, please contact our Privacy Officer using the details below. We will acknowledge your complaint and aim to resolve it promptly and fairly. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.
